Event Terms and Liability

At Rotherwood Events (operated by Blue K Homestead Company LLC), we operate on a working farm with historic structures. Events here involve inherent agritourism risks, and the following terms help ensure safety, protect the property, and clarify responsibilities. These are highlights—full details appear in the signed Rental Agreement.

Key Event Rules
Timelines: Rental periods include setup and teardown. Music ends by 11:30 PM (Fridays/Saturdays) or earlier midweek; alcohol service stops one hour before the event end; all guests/vendors must depart by midnight unless otherwise specified. Overtime fees apply.
Guest Limits: Maximum capacity is based on fire codes (e.g., 216 indoors). Final guest count is due 30 days prior; exceeding it may limit accommodations or incur fees.
Alcohol: Only licensed bartenders (1 per 100 guests) from our approved list may serve. No self-service or "last call" announcements. Violations may end the event and forfeit the security deposit.
Vendors: Must be approved byvenue owners or pre-approved from our vendors list (submit COI, licenses 30 days prior). Vendors handle their own setup/cleanup and may not consume alcohol.
Prohibited Items & Activities: No smoking/vaping indoors, open flames/fireworks, glitter/confetti, adhesives/tape on surfaces, climbing structures, entering animal enclosures, or unauthorized alterations. Children under 16 must be supervised at all times.
Cleanup: Clients must remove all items and trash; excessive cleanup or damages are deducted from the security deposit.

Liability & Assumption of Risk
Rotherwood Events is a working farm with uneven terrain, animals, wildlife, weather exposure, farm equipment, and historic structures. These natural elements create inherent risks.  
By booking an event or attending, you and your guests assume all such risks and release Rotherwood Events, its owners, staff, and affiliates from liability for injuries, losses, or damages arising from these inherent risks (except in cases of gross negligence).  
We strongly require obtaining event liability insurance ($1 million minimum) naming Blue K Homestead Company LLC d.b.a. Rotherwood Events as additional insured.

Photography & Promotion
Photos and videos taken during events may be used for promotional purposes on our website and social media. Contact us at info@rotherwoodevents.com if you wish to opt out.

Insurance Requirement
Clients must provide proof of $1 million event liability insurance naming us as additional insured at least 30 days prior to the event.
